How to add page numbers to a PDF

A step-by-step guide to add page numbers to a PDF, with advice on the settings and checks that matter.

Before you start

Finish merging and deleting pages before numbering the document. Choose a position with enough margin.

How to do it, step by step

  1. Open the PDF after you have finished merging, deleting or rearranging pages.
  2. Choose a position with enough clear margin for the numbers.
  3. Export and check the first, last and busiest pages for overlap with existing footers.

Check the saved file

Check pages that already have footers or printed numbers for overlap or duplicate labels.

When to add page numbers to a document bundle

Numbering early can become misleading after pages are removed or files are merged. Existing printed numbers may describe a different sequence. Finalize the page order first and number the resulting copy. Use a clearly separate position if original page labels must remain visible.
