How to edit a PDF with text, forms and AI
Need to fix a typo, fill in a form or add a note to a PDF? Here is how to choose the right tool, make the change and check your saved document.
First, decide what you need to change
Fixing a typo, adding a note and filling a form are three different jobs. For a typo, use Edit Text. For something new in an empty area, use Add Text. For an interactive form, click the field or use Fill Form. Choosing the right tool avoids covering existing content unnecessarily.
How to edit existing text
- Open your PDF in the editor. Zoom in until the words and nearby table lines are easy to see.
- Choose Edit Text and click the phrase you want to change. Check the selected box before typing: PDF text does not always follow the paragraph or cell structure you see on the page.
- Make a small correction first. Select the text you want to format, then choose its font or size from the text toolbar. A wider font needs more space, so inspect nearby words and table cells.
- Click outside the text to finish. Use Undo if the result moved or changed something you did not intend.
Add text or fill in a form
To add a missing note, choose Add Text and click a clear part of the page. Position the box and adjust the size so it fits. If the document has interactive fields, type directly into them instead. This keeps field values separate from ordinary page text and avoids laying a new text box over an existing field.
What if the words cannot be selected?
The page may be a scan: it looks like text but is actually an image. Edit Text cannot rewrite those pixels as ordinary PDF text. You can add a visible note with Add Text, or use an OCR workflow to recognize the page before attempting text edits. Putting a white box over sensitive information is not secure redaction; the original content can remain in the file.
Use AI for a specific change
Open the chat bubble and start a new chat. Give the assistant a target and an outcome, for example: “On page 2, replace the delivery date 12 October with 19 October. Leave the other dates unchanged.” Review Highlight changes, then Apply when the proposal is right. If Auto-apply is enabled, eligible edits can be applied without that manual step; leave it off when you want to review first.
Save the PDF and check the finished file
- Choose Save & Export PDF and select the pages you need. Save a new copy so you still have the original.
- Open the exported file in your usual PDF viewer. Check the edited words, nearby lines and any fields you filled in.
- For a price or quantity change, check every affected total too. A PDF is not a spreadsheet with live formulas, so editing one number does not guarantee that dependent figures update.
Do you need a paid plan?
You can try editing existing text before upgrading, but downloading those existing-text edits requires a paid plan. Standard downloads are available with a free account.
