Why PDF text is difficult to edit

A PDF stores positioned content, not necessarily flowing paragraphs. Words can be split across drawing operations, and scans may contain only images.

What to try first

Try a targeted edit to a short phrase. Use Add Text for a note or a blank area. For broad rewrites, converting selectable text to Word can be more suitable.

Try it on a fresh copy

  1. Open your PDF in the editor. Zoom in until the words and nearby table lines are easy to see.
  2. Choose Edit Text and click the phrase you want to change. Check the selected box before typing: PDF text does not always follow the paragraph or cell structure you see on the page.
  3. Make a small correction first. Select the text you want to format, then choose its font or size from the text toolbar. A wider font needs more space, so inspect nearby words and table cells.
  4. Click outside the text to finish. Use Undo if the result moved or changed something you did not intend.

How to tell whether it worked

Use See changes for AI edits, inspect nearby layout, and reopen the exported PDF before sharing.
